Keep four kinds of identifiers separate
An appliance model identifies a refrigerator, a filter reference identifies a cartridge family or part, a supplier SKU identifies the proposed supplied item, and a private label SKU identifies the buyer's own sellable configuration. None should silently replace another. The same filter reference may appear in several packaging formats, while a similar appliance family may include different filter arrangements. Record each field explicitly instead of combining everything into a single product name.
Preserve punctuation, suffixes and the original source string. You may add a separate normalized search field to help staff find a record, but do not let normalization create a new compatibility claim. Removing a hyphen for search convenience is different from declaring two manufacturer references equivalent. This distinction matters when a purchasing spreadsheet later becomes the source for product listings, manuals or printed packaging.
Collect source evidence before extending a reference list
Ask for a readable photo of the installed cartridge label, the connection end and the appliance identification plate. Record the market where the appliance was sold and any available manual or manufacturer reference. An internet compatibility list is a lead for investigation, not a substitute for evidence tied to the actual application. Keep the source and review date so the same question does not have to be reconstructed at the next purchase.
Samsung Canada's filter identification guide uses the existing cartridge reference and end shape to distinguish filter types. It is useful primary guidance for identification, not an endorsement of third-party replacements. A B2B buyer should still verify the proposed supplier item against the exact application rather than interpreting a general original-brand guide as approval of the aftermarket cartridge.
Build a cross-reference record with an evidence status
The following table is a suggested procurement record structure, not a published compatibility database. Each row in your working file should represent one proposed relationship. Keep unreviewed mappings visible to the technical team but distinguish them from those accepted for ordering. A blank approval field should not be interpreted as acceptance simply because the row appears in a spreadsheet sent to a supplier.
| Record group | Fields | Purpose |
|---|---|---|
| Source application | Appliance model, market and original filter code. | Identify the actual installation. |
| Candidate item | Supplier SKU, revision and connection photos. | Identify what will be supplied. |
| Evidence | Source URL/document, image date and sample reference. | Make the relationship traceable. |
| Decision | Pending, clarification required, accepted or rejected. | Prevent an assumption becoming an order. |
| Release | Approver, approved scope, pack revision and date. | Control the mapping used downstream. |
Check the interface and operating context
Review the locking geometry, seal locations, flow connections and available installation space. A white cylindrical housing can conceal a different interface. Do not modify a cartridge or force it into a head to make an apparent match work. If photographs are insufficient, ask for a sample evaluation plan or additional dimensional information. The supplier and buyer should agree what constitutes a satisfactory connection check for the application.
Fit is only one part of the decision. Compare the proposed item's operating requirements with the application and ask how any appliance identification features are handled where relevant. Do not assume every visually related filter family behaves identically. Flow, leakage, installation instructions and filtration claims need their own supporting information. Acceptance of one interface does not establish universal compatibility across the whole appliance brand.
Apply reference discipline to the existing FridgeFilt range
The GE MWF-compatible page is a starting point for an MWF sourcing discussion. It does not make every GE filter interchangeable. In particular, GE identifies FQK2J as an under-sink replacement set. FridgeFilt retains that related product reference in its catalog, with the application identified separately. A shared GE category is not evidence that FQK2J fits a refrigerator using MWF.
Keep the published DA29-20B and DA97-17376B references exactly as stated when preparing a request. Do not automatically extend either to other DA29 or DA97 codes. The Filter 1 and EveryDrop 1 pages also remain separate references for review. For EPT or an unpublished LG requirement, send identification evidence rather than adding an assumed mapping to a bulk order.
Evaluate a sample and record what was actually checked
Give the evaluator the proposed mapping, sample identifier and applicable instructions. Record the installation context and the observations, including any unresolved questions. A photo of a cartridge near a refrigerator does not show that installation, sealing or operation was reviewed. If a check cannot be completed because the head or appliance is unavailable, keep that limitation in the decision record rather than marking the relationship accepted.
A useful approval states the scope: the identified sample and configuration were reviewed for the recorded application, subject to the specified conditions. It should not claim that every unit or every appliance model has been tested. When the buyer requires performance validation beyond fit, define the relevant tests and evidence separately. Refer to the manufacturer quality checklist to structure those questions.
Carry the approved relationship into packaging and receiving
Use the accepted reference record as the source for the order, product label, color box, manual and receiving list. Keep the private label SKU linked to the supplier configuration and packaging revision. A distributor managing several suppliers should avoid merging their items solely because both mention the same replacement reference; the actual supplied configuration and supporting documents can differ.
At receiving, compare the delivered identifiers and packaging against the approved record. Define how substitutions or unclear labels will be handled before stock is released. This is particularly useful when several outwardly similar filters share a carton or shelf area. The private label packaging guide explains how barcode data, pack counts and artwork revisions can help preserve the mapping through distribution.
Resolve a hypothetical conflicting-code request
Suppose a buyer's spreadsheet names DA29-20B but the attached label photograph shows a longer reference string. Preserve both as received. Mark the relationship pending clarification, ask which cartridge is actually installed and request a clear connection photo. Do not overwrite the spreadsheet with the longer code or silently shorten the image reference. The disagreement is useful evidence of a question that must be answered, not a formatting error to hide.
After the source identity is clear, ask the supplier to identify its proposed item and explain the matching evidence. Complete the agreed sample review before releasing that relationship to artwork and ordering records. Keep the earlier ambiguity in the review history so another employee does not reintroduce the original assumption. This is an illustrative validation workflow, not a new declaration that the two codes are equivalent or a record of testing performed by FridgeFilt.
Send a model list that makes uncertainty visible
List exact source references, proposed quantities, market, application, connection evidence and the status of each proposed match. Keep pending references separate from the approved purchase configuration. FridgeFilt supports model review, samples and OEM or private label requirements, with private label programs starting from 1,000 pcs. Compatibility must still be resolved for the selected configuration before finalizing artwork and a bulk order.
Use the compatibility guide for initial identification and this validation record for the purchasing decision. Then submit the model list with your quotation request. Precise identifiers and an honest evidence status are more useful than a long unverified list of replacement codes: they let the supplier respond to the actual application and help your team keep the same decision intact at reorder.
